Use Zomail on your phone

You have three ways to use Zomail on a phone: the Zomail app for iOS and Android, the phone's own mail app over IMAP, or the installable web app. The Zomail app is the simplest and the only one that also opens shared mailboxes.

Set up the Zomail app

  1. Install the Zomail app from the App Store (iPhone, iPad) or Google Play (Android).
  2. Sign in with your full e-mail address, for example anna@example.com, and your password. If your company signs in with Google or Microsoft, the app sends you to that sign-in page instead.
  3. Enter your 6-digit code if you have 2-step verification turned on. Some organisations require 2-step verification for the app; if yours does, turn it on in webmail first.
  4. Allow notifications when the phone asks, so new mail and meeting alerts reach you.
  5. Open a shared mailbox (if you are a member) from the account menu in the app.

Sign in on a computer with a QR code

Once the app is signed in, you can sign in to webmail on a computer without typing a password.

  1. On the computer, open https://mail.zomail.io and click Sign in with a QR code below the sign-in button. The code refreshes every 60 seconds until it is scanned.
  2. In the Zomail app, tap the QR scan icon (or go to Settings and choose to sign in on a computer) and point the camera at the code. The phone's normal camera also works; it opens the Zomail app.
  3. The phone shows the browser, operating system, IP address and time of the computer that is waiting. Check that it is the computer in front of you, then tap Sign in. Otherwise tap Deny.
  4. The browser opens your inbox. Your mailbox also receives an e-mail telling you about the new QR sign-in.

Your administrator can turn QR sign-in off for the organisation. If so, sign in with your password.

iPhone and iPad Mail, Calendar and Contacts

The built-in apps work over IMAP, SMTP, CalDAV and CardDAV. First create an app password in webmail under Settings → App passwords (see connect email apps).

Mail:

  1. Open Settings → Mail → Accounts → Add Account (on iOS 18 and later: Settings → Apps → Mail → Mail Accounts → Add Account).
  2. Choose Other → Add Mail Account. Enter your name, address, app password and a description.
  3. Choose IMAP and enter the servers:
Incoming mail server
Host name: imap.zomail.io
User name: anna@example.com
Password:  <your app password>

Outgoing mail server
Host name: smtp.zomail.io
User name: anna@example.com
Password:  <your app password>

The iPhone uses SSL automatically; if it asks, use port 993 for incoming and 465 (or 587) for outgoing.

Calendar and contacts: in the same Add Account → Other screen, choose Add CalDAV Account, then Add CardDAV Account. Use:

Tasks you create in Zomail also sync with the iPhone Reminders app through CalDAV.

Android with an IMAP app and DAVx⁵

Android does not have a single built-in IMAP app on every phone, so use an IMAP app you trust, for example Thunderbird for Android (formerly K-9 Mail).

  1. Add an account with your e-mail address and app password. If the app does not find the settings, choose IMAP and enter imap.zomail.io port 993 SSL/TLS and smtp.zomail.io port 465 SSL/TLS (or 587 STARTTLS).
  2. For calendar and contacts, install DAVx⁵, add an account with "login with URL and user name", and enter https://dav.zomail.io, your address and the app password.
  3. Choose which calendars and address books to sync. They then appear in the phone's calendar and contacts apps.

Screen names in third-party apps change between versions.

The installable web app (PWA)

Webmail can be installed like an app, with its own icon and window that opens straight to your inbox.

To get notifications from the web app, open Settings → Browser notifications, choose what you want to hear about (new mail, meetings, security), then click Turn on in this browser and allow notifications. Use Send a test notification to check. On iPhone and iPad this needs iOS or iPadOS 16.4 or later, and you must open Zomail from the home-screen icon first.

The web app does not keep copies of your mail on the device for offline reading. That is deliberate: a lost or shared phone does not expose your mail.

Lost your phone?

In webmail, revoke the phone's app password under Settings → App passwords. Ask your administrator to use Remove all devices or Sign out all sessions on your mailbox. If the phone held your authenticator app, sign in with one of your recovery codes and set up 2-step verification again.

FAQ

Do I need the Zomail app, or can I use the phone's Mail app?

Either works for your own mailbox. Use the Zomail app if you need shared mailboxes or QR sign-in to webmail on a computer.

Why does iPhone Mail reject my password?

It needs an app password, not your main password. Create one under Settings → App passwords in webmail.

Will push notifications work in the web app?

Yes, in supported browsers. On iPhone, install the web app to the home screen first (iOS 16.4 or later).
