Zomail works with any desktop mail app that speaks IMAP and SMTP, and with any calendar or contacts app that speaks CalDAV and CardDAV. Create an app password first, then add the account with the settings on this page.

Connect a mail app in five steps

  1. Create an app password in webmail: Settings → App passwords. Type a device name (for example "Outlook laptop"), enter your current password and click Create app password.
  2. Copy the app password right away. It is shown only once.
  3. Add a new account in your mail app and enter your full e-mail address (for example anna@example.com).
  4. Paste the app password when the app asks for a password. If the app does not find the settings by itself, choose IMAP and enter the server settings below.
  5. Send a test message to yourself and from another address to confirm that sending and receiving both work.

Why an app password

An app password is a separate password for one device. If you lose the laptop, you revoke that one password and your main password keeps working everywhere else. In Settings → App passwords you can see each device, when it was created and when it was last used, and click Revoke to cut it off.

Some organisations set Require app passwords for mail apps once 2-step verification is on, and apps always need an app password when the company signs in with Google or Microsoft (SSO). Changing your own main password does not affect app passwords, but a password reset through the recovery e-mail revokes all of them, so you would create new ones.

Outlook on Windows

  1. In Outlook, add an account (classic Outlook: File → Add Account; new Outlook: Settings → Accounts → Add account).
  2. Enter your e-mail address. If Outlook asks for the account type, choose IMAP.
  3. Enter the app password. If Outlook cannot find the settings, open the advanced or manual setup and enter the IMAP and SMTP values from the table.
  4. Finish and wait for the folders to sync.

Outlook on Mac

  1. Open Outlook → Settings → Accounts and click + to add an account.
  2. Enter your e-mail address. If you are asked to choose a provider, pick IMAP/POP and use the IMAP settings.
  3. Enter the app password and, if needed, the server names and ports from the table.
  4. Click Add Account.

Outlook connects to Zomail over IMAP and SMTP. Zomail does not offer Exchange ActiveSync, so Outlook will not offer an Exchange account type for Zomail. Your mail, folders and server-side filters still work, because filters run on the server.

Apple Mail on macOS

  1. In Mail, choose Mail → Add Account → Other Mail Account.
  2. Enter your name, e-mail address and app password, then click Sign In.
  3. If Mail cannot verify the account, set the account type to IMAP, the incoming server to imap.zomail.io and the outgoing server to smtp.zomail.io.
  4. For calendar and contacts, open System Settings → Internet Accounts → Add Other Account, choose CalDAV account (and then CardDAV account), set the account type to Manual, and enter your address, app password and dav.zomail.io as the server.

Thunderbird

  1. Open the menu and choose New → Existing Mail Account (or Account Settings → Account Actions → Add Mail Account).
  2. Enter your name, address and app password, then click Continue. Thunderbird usually finds the settings by itself.
  3. If it does not, click Configure manually and enter the values from the table.
  4. For calendar, add a new network calendar (CalDAV) with location https://dav.zomail.io. For contacts, add a CardDAV address book with the same address. Sign in with your e-mail address and app password.

Menu names in third-party apps change between versions, so look for the closest match.

Automatic setup (autoconfig and autodiscover)

If your administrator has added the optional autoconfig, autodiscover and SRV records on the domain page, Thunderbird and many other apps read autoconfig, and Outlook reads autodiscover. You then only type your e-mail address and app password. Without those records, everything still works: you just enter the settings by hand.

What works only in webmail or the Zomail app

Shared mailboxes (such as support@example.com) open in webmail and in the Zomail app for iOS and Android, not in Outlook, Apple Mail, Thunderbird or other IMAP apps. Members switch to a shared mailbox from the account menu in webmail. The quarantine page and the Report phishing button are in webmail.

FAQ

Outlook keeps asking for my password. What's wrong?

Usually the app is using your main password instead of an app password, or the app password was revoked. Create a new one in Settings → App passwords and paste it in.

Should I use port 465 or 587 for SMTP?

Either works. Use 465 with SSL/TLS if your app offers it; use 587 with STARTTLS if your network blocks 465.

Can I use POP3?

Zomail is set up for IMAP, which keeps your mail in sync across webmail, phones and computers. Use the IMAP settings above.

Does Outlook support my shared mailbox?

Not yet. Open shared mailboxes in webmail or the Zomail app.
