Do I have to transfer my domain to Zomail?

No. Your domain stays with your current registrar or DNS provider. You add the records shown on your domain page in the admin console: a verification TXT record, MX mx.zomail.io, SPF with include:_spf.zomail.io, two DKIM CNAMEs (zm1 and zm2) and DMARC. Copy the exact values from your domain page, because the verification code and DKIM targets are unique to each domain. See getting started.

How long until my domain works?

Usually minutes after you create the records, sometimes a few hours, depending on your DNS provider's TTL. Click Check DNS on the domain page to re-check. If your provider supports Domain Connect, Configure automatically sets the records for you.

What are the IMAP and SMTP settings?

IMAP imap.zomail.io, port 993, SSL/TLS. SMTP smtp.zomail.io, port 465 SSL/TLS or 587 STARTTLS. The user name is your full e-mail address and the password is an app password. Calendar and contacts use https://dav.zomail.io. Full steps for each app are in connect email apps.

Why do I need an app password?

Mail apps such as Outlook, Apple Mail and phone mail apps should sign in with an app password, not your main password. If a device is lost you revoke just that password. Some organisations require app passwords, and they are always needed when your company signs in with Google or Microsoft. Create one in webmail under Settings → App passwords.

Does Zomail support Exchange ActiveSync or POP3?

Zomail uses open standards: IMAP and SMTP for mail, CalDAV and CardDAV for calendar and contacts. Exchange ActiveSync and POP3 aren't offered. Outlook, Apple Mail, Thunderbird, iPhone and Android all work over IMAP.

Can I open a shared mailbox in Outlook?

Not yet. Shared mailboxes such as support@ open in webmail and in the Zomail app for iOS and Android. Members switch to them from the account menu. See admin basics.

Is there a mobile app?

Yes. Install the Zomail app from the App Store or Google Play and sign in with your full address. The app can also sign you in to webmail on a computer by scanning a QR code. You can use the phone's own mail app over IMAP instead. See mobile.

Can I bring my old mail from Gmail, Microsoft 365 or cPanel?

Gmail, Google Workspace, Yahoo and any IMAP server (cPanel, Plesk and other hosts) can be imported per user in Settings or for the whole company from a CSV in the admin console. Gmail needs a Google app password. Microsoft has disabled password-based IMAP for most Microsoft 365 accounts, so export a PST and drag the folders into Zomail in Outlook. Imports can be re-run without duplicates. See migration.

I lost my phone with the authenticator app. What now?

Sign in with one of the 10 recovery codes you saved when you turned on 2-step verification, then set it up again. If you have no codes left, ask your administrator to use Reset 2-step verification on your mailbox. They will confirm it's really you first.

I forgot my password.

Click Forgot password? on the sign-in page. A reset link goes to your confirmed recovery e-mail and works once, for 30 minutes. If you never set a recovery e-mail, ask your administrator to set a new password. After a reset, create your app passwords again.

Can I get back an e-mail I deleted?

If it's still in Trash, move it back yourself. If it has been deleted for good, your administrator can restore it from the hourly mail snapshots in Admin → Backups → Restore mail. Restored messages appear with a label and nothing existing is overwritten.

What's the maximum attachment size?

15 MB per message. Large photos can be sent at a smaller size, which also removes location data. For bigger files, upload them to Drive and share a link with an expiry date.

How do I report a phishing e-mail?

Open the message and choose More → Report phishing. Your administrators are alerted and can remove the message from everyone's mailbox. For ordinary advertising, use Report spam instead. See anti-spam and anti-phishing.

How much does Zomail cost?

Zomail Cloud is priced per mailbox per month, billed monthly or yearly, and you can add or remove mailboxes at any time. Current prices are on the pricing page.
