Why people look for Zoho Mail alternatives
Zoho Mail deserves its popularity. It is affordable, it comes from a company with a huge family of business apps (CRM, Books, Desk, Projects and many more), it supports IMAP, POP and ActiveSync, and its mobile apps are capable. Many small businesses have used it happily for years, and if you rely on Zoho CRM, staying inside Zoho has real benefits.
Still, teams outgrow or simply prefer something else. Typical reasons:
- Interface and habits. Some users find the web interface busier than Gmail or Outlook, especially when Zoho's other apps sit around it.
- Tier limits. Storage, attachment sizes and admin features vary by plan. Teams sometimes discover a limit only after they hit it.
- Collaboration needs. If you need stronger document collaboration or meetings your clients already use, a bigger suite may suit you better.
- Security priorities. You may want more visible anti-phishing tools, end-to-end encryption, or email on a server you control.

Google Workspace
If your team spends its day in the browser and collaborates on documents, Google Workspace is the natural step up. Gmail's spam filtering is excellent, real-time editing in Docs and Sheets is excellent, and almost every SaaS tool integrates with Google. Microsoft 365
For accounting, legal and engineering teams that work in desktop Excel and Word, Microsoft 365 is hard to beat. Zomail
Zomail is closest to Zoho in spirit: a full business email suite at a per-mailbox price. Each mailbox gets webmail, calendar, contacts and tasks, Drive file storage with expiring share links and malware scanning, Word/Excel/PowerPoint files edited in the browser, and video meetings that guests join from a link. On plans that include AI, an assistant can summarise threads, draft replies and translate, once an admin switches it on.
Where Zomail puts particular weight:
- Anti-phishing. "External" tags, a first-time-sender notice, click-time link checking against known phishing and malware lists, impersonation and lookalike-domain detection, quarantine with daily digests, and a "Report phishing" button that lets admins remove a message from every mailbox in the company. - Guided DNS. A DNS page that checks each record (MX, SPF, DKIM with automatic key rotation, DMARC, MTA-STS), a zone file you can import, and one-click Domain Connect where your DNS provider supports it.
- Your own server, if you want it. Private Mail installs the same suite on your own Linux server, with automatic updates and encrypted backups, licensed per mailbox per year. Cloud is billed per mailbox per month.
- Shared mailboxes without a seat. support@ or sales@ can be a shared mailbox that does not take a licence, read in webmail and the Zomail app.
Honest limits: no Exchange ActiveSync, no POP3, no end-to-end encryption or S/MIME, and no CRM or accounting apps. If you depend on Zoho CRM, you can still move email and keep CRM, but you lose some of the tight built-in integration.
Fastmail
Fastmail is a long-running email specialist with a fast interface and excellent support for IMAP, CalDAV and CardDAV. It is a good fit if you want polished email, calendar and contacts and nothing else, and are happy to use separate tools for documents and meetings.
Proton Business
Proton is the choice when encryption comes first. Mail is stored with zero-access encryption and is end-to-end encrypted between Proton users. The trade-off is that desktop email apps need Proton Bridge and some features are simpler than in mainstream suites.
Email bundled with hosting
For a one- or two-person business already paying for cPanel hosting, bundled mail costs nothing extra. It is usually more basic in filtering, backups and admin than Zoho, so it is a step down for most teams, not a step up. Our article on cheap business email covers this trade-off.
Questions to ask before you switch
- What exactly is not working with Zoho? If it is one setting or one tier limit, upgrading may be easier than moving.
- Which Zoho apps do you depend on? CRM, Books and Desk integrations will need a new arrangement.
- Which email apps do staff use? If anyone relies on ActiveSync or POP3, confirm the new provider supports what they need.
- How much mail are you moving? Large mailboxes take time to copy; plan a weekend or run the import in the background.
- Who manages DNS? You will need access to your domain's DNS to switch MX, SPF, DKIM and DMARC.
How to migrate from Zoho Mail
Zoho supports IMAP, so the move is usually clean:
- In Zoho Mail settings, make sure IMAP access is enabled for each user. If two-factor authentication is on, create an app-specific password.
- Add your domain to the new provider and verify it, without changing MX yet. In Zomail this is covered in getting started.
- Create users, aliases and groups.
- Import mail. In Zomail, each user can import from Settings by choosing "Other IMAP server" and entering Zoho's IMAP host for your region, or an admin can import everyone from a CSV. The import runs in the background, can be re-run without duplicates, and leaves the Zoho mailbox untouched.
- Export calendars and contacts from Zoho (ICS and vCard files) and import them.
- Lower DNS TTLs, switch MX and update SPF, DKIM and DMARC. Then run the mail import once more to catch stragglers.
- Reconnect phones and desktop apps (phones and mobile app).

Can I move my Zoho Mail to another provider without losing emails?
Yes. Enable IMAP in Zoho, then use the new provider's IMAP import to copy every folder. Your Zoho mailbox is not changed by the copy, so you can confirm everything arrived before you switch MX records.
Can I keep Zoho CRM if I move email elsewhere?
